How the Wide Format Cost Per Square Foot Calculator Works

The calculator builds your cost from six components: media (with waste factor), ink (with maintenance purge waste), lamination, finishing labor, print labor from your shop rate and actual print speed, and an overhead percentage for fixed non-production costs. The result is a fully loaded cost per square foot, not just material cost.

Shops that price from media and ink alone leave out the lines that decide margin: finishing labor, print time and overhead. On the default inputs, media and ink are only about a third of the loaded cost. The calculator puts all six in one number.

The minimum sell price applies your target gross margin to the overhead-inclusive cost. At a 55% target, every dollar of cost needs $2.22 of sell price. The margin note under the results tells you whether your target sits below, inside or above the 50–70% range commonly used for wide format.

Wide Format Cost Per Square Foot — FAQ

What is the average cost per square foot for wide format printing?

It depends on what you count. Media plus ink alone usually runs about $0.55–$0.75 per sq ft on standard vinyl banner or eco-solvent signage. Fully loaded, with lamination, finishing, print labor at a $95–$105 shop rate and 20% overhead, the calculator’s presets land between about $1.70 per sq ft (vinyl banner) and $3.00 per sq ft (canvas). UV on rigid board comes to about $2.20. Those are production costs. At a 55% gross margin target the minimum sell price is roughly 2.2 times the loaded cost.

How do I calculate print cost per square foot?

Add media cost per sq ft (with waste), ink cost per sq ft (with maintenance waste), lamination, finishing labor and print labor (shop rate divided by production speed in sq ft per hour). Apply your overhead percentage to that subtotal. The result is your fully loaded production cost per sq ft. Divide it by (1 minus your target gross margin) to get the minimum sell price. Example: $0.80 production cost at a 55% margin target needs a sell price of at least $1.78 per sq ft.

How much does eco-solvent wide format printing cost per square foot?

With the eco-solvent preset ($0.52 media, $0.10 ink with 7% purge waste, $0.18 lamination, $0.12 finishing, $95/hr at 140 sq ft/hr, 20% overhead) the loaded cost is about $1.95 per sq ft. Media and ink alone are about $0.65. Print labor is the biggest single line at roughly $0.68 per sq ft, so print speed and shop rate move the result more than the ink price does. Replace every input with your own numbers.

Why does finishing labor affect cost per square foot so much?

Finishing is where wide format shops most often lose margin. Ten minutes of hand hemming and grommeting on a 32 sq ft banner at a $95/hr shop rate costs $15.83, or about $0.49 per sq ft. That is nearly five times the $0.10 default in the calculator. Time your real finishing jobs and enter what they actually cost. Margin is rarely lost at the printer. It is lost in finishing.

What is a good gross margin for wide format printing?

A common target for wide format print jobs is 50–70% gross margin. Below about 50%, there is usually too little left to cover sales, administration, equipment replacement and growth. Shops that set prices from material cost alone often land well below that without realizing it. Example: $1.50 per sq ft charged on a job that costs $0.90 fully loaded is a 40% gross margin.

How do latex and UV ink costs compare per square foot?

In the reference values used here, latex ink costs about $0.08–$0.14 per sq ft (roughly 775 mL per 1,000 sq ft) and UV ink about $0.05–$0.08 per sq ft (roughly 290 mL per 1,000 sq ft). UV inks are more pigment-dense, so UV can have a lower ink cost per sq ft despite a higher price per liter. Eco-solvent runs about $0.07–$0.12 per sq ft before the 5–10% maintenance waste. These are illustrative figures. Consumption varies by printer model, print mode and coverage, so measure on your own files.

What is the difference between overhead allocation and gross margin in a print quote?

Overhead allocation covers fixed non-production costs such as software, rent, admin and insurance, expressed as a percentage of direct costs. Gross margin is the share of the sell price left after all costs, overhead included, are covered. With 20% overhead and a 55% margin target, 55 cents of every revenue dollar must remain after paying all costs. Adding overhead on top as if it were margin is one of the most common wide format pricing errors.
